Key Responsibilities
Office & Administrative Management
-Oversee daily office operations, including supply management and acting as the primary contact for office maintenance.
-Manage office-related insurance policies and subscriptions, ensuring timely updates and renewals.
-Liaise with external organizations and service providers (e.g., landlords, tax offices, payroll providers).
-Coordinate travel arrangements and logistics for team members.

Project Administration, Controlling & Financial Support
-Assist with project administration, including contract management and document preparation.
-Support project monitoring, ensuring documentation, timelines, and compliance requirements are met.
-Maintain and update administrative records related to ongoing projects.
-Assist in preparing proposals, reports, and supporting documents.
-Provide support with financial reporting, tracking budgets, and ensuring financial compliance for projects.
-Collaborate with the finance team to assist with expense tracking and documentation.

Event Planning & Logistics
-Organize internal and external events, including logistics, planning, and coordination.
-Support the execution of workshops, conferences, and meetings.
-Manage event-related registrations, travel logistics, and materials.

Project Assistance
-Provide administrative support to project teams.
-Assist with basic research tasks, data collection, and documentation.
-Help prepare presentations and reports for research-related projects.

Who We Are Looking For
The ideal candidate will have the following attributes:
-A structured, detail-oriented, and proactive approach to work.
-Experience in administrative roles, preferably in office management, project administration, financial reporting, or event coordination.
-Strong organizational and multitasking skills.
-Familiarity with financial reporting or budget tracking in project settings is an advantage.
-Excellent communication skills, with fluency in English (written and spoken); proficiency in Finnish, Danish, or Norwegian is an advantage.
-Previous experience in project coordination or administrative controlling is a plus.
-Strong proficiency in Microsoft Office (Excel, Word).
-Ability to work independently and collaboratively in a fast-paced environment.
-Willingness to work on-site in the Helsinki office at least 50% of the time.
