Overview
We are looking for an outgoing and experienced Workplace Coordinator with a customer-centric approach to support our strategic client—a global tech company located in Vantaa. If you’re a proactive, outgoing and with a passion for delivering high-class facilities services, this role is for you!
As the first point of contact for building occupants, you’ll ensure seamless day-to-day operations while maintaining compliance with health, safety, and environmental procedures. You’ll oversee and support site operations, report issues, monitor and deliver essential services, and provide building introductions to new users.

Your responsibilities:
Maintain allocated premises.
Manage lobby, mail, courier items, and stationery hubs as well as other office services tasks.
Conduct regular floor walks, audits, and report findings.
Ensure compliance with Health, Safety, Environmental procedures, and company policies.
Provide first-line support for MFDs, AV equipment, and meeting room users.
Support print, reprographics, and archiving needs, advising users appropriately.
Manage access control and security systems on site.
Host business clients, subcontractors, and visitors.
Serve as the technical contact between the subcontractors and the client, ensuring smooth communication.
Communicate effectively with clients, team members and suppliers.
Handle facility user feedback and recommend improvements.
Participate in sustainability, logistics, inventory and shipments tasks, well as warehouse and cleanroom/laboratory related chemical handlings
Supporting projects and maintaining a positive workplace environment.
Work flexibly across different premises, schedules, and cleanroom/laboratory environments.
Your qualifications:
Relevant education and/or experience in delivering multi-skilled service bundles in a prestigious environment.
Previous experience working in a high-profile international corporate environment.
Exposure to facilities management.
Punctuality and exceptional attention to detail.
A professional, representative, and welcoming demeanor.
Proactive and service-minded approach.
Strong PC literacy, including proficiency in MS Office and familiarity with various systems.
Excellent written and spoken communication skills.
Strong prioritization and organizational abilities.
Positive, can-do attitude with a hands-on approach to tasks.
Adaptability to dynamic environments and changing work schedules.
Confidence in interacting with a wide range of individuals, from international visitors and senior leaders to front-office teams.
Logical and creative problem-solving skills with a focus on solutions.
A professional and ambassadorial attitude at all times.
Fluency in English and Finnish is essential in this role,
Driving license and preferably occupational safety card.

This is a fixed-term position until the 31st October, with a work schedule of 37.5 hours per week, Monday to Friday. Weekend work and other adjustments to the schedule may occur based on operational needs.
